ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Provide administrative support to the Human Resources Generalist and the Human Resources Director as needed.
- Assists with administrative functions including (but not limited to): answering phones, greeting visitors, invoice processing, scheduling, coping/scanning/filing, and other office functions.
- Proofreads and types documents and correspondence produced by department.
- Inputs and maintains accuracy of employee information into HRIS system.
- Processes required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
- Prepares purchase orders for human resource office.
- Receives and distributes office mail.
- Complies information and responds to request from outside agencies/companies pertaining to employment verification, unemployment claims disability verifications, salary/benefit comparability request.
- Responds to telephone inquiries from public or employees.
- Maintain and secure all employee files.
- Reconciliation of expenses
- Department event organization (holidays, birthdays, service recognition etc.)
- Project support as requested
- Performs other related duties as assigned.
QUALIFICATIONS REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION/EXPERIENCE: Associates’ degree; or two years of experience in related field; or combination of education and experience. Certification in Human Resources a plus.
LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
COMPUTER SKILLS: Moderate computer skills required for data entry, Word, Excel, and other software programs, as required for the position.
REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs.
CERTIFICATES, LICENSES, REGISTRATIONS: Access to transportation, California driver’s license, and minimum auto insurance as required by law.
